The product

What is ProEMS?
ProEMS is school and college management software with parent, student, staff and principal portals. It covers admissions, attendance, fees, exams, report cards, certificates and parent communication, with apps for Android and iOS.
Who makes ProEMS?
Transcloud Solutions Pvt Ltd, from Vadodara, Gujarat. We have been building ProEMS since 2019.
Does ProEMS work for colleges as well as schools?
Yes. One system serves both. Colleges get programs, courses, departments, terms, backlogs, subject approval, examination forms and admit cards, and the labels across the system can be switched to the terms your college uses.
Can we start with only a few modules?
Yes. Modules come in three plans, Silver, Gold and Platinum, and each plan includes everything in the one before it. Within your plan, each module can be switched on or off for your institution, and you can move up a plan whenever you need more.
Do we need to install anything?
No. ProEMS runs in a web browser, and the app is free on Google Play and the App Store. The one exception is a fingerprint scanner for staff attendance, which needs its maker's small program on the computer it's plugged into.
Do you support biometric and RFID attendance?
Yes. Students and staff can be marked with RFID cards or barcode scanners, and staff attendance also works with the Mantra MFS100 fingerprint scanner. Teachers can still mark attendance by hand on the web or in the app.
Can we use our own certificate formats?
Yes. Bonafide certificates, ID cards and library cards are generated as Word files from your own Word templates with merge fields, so they keep the layout you already use. Transfer certificates are issued as PDFs from the student record.
What language is ProEMS in?
English. Labels such as class, term or program can be switched to the words your institution uses.

Fees and payments

Which payment gateways can we use for online fees?
Razorpay, Stripe, Paytm, HDFC (through CCAvenue) and PNB. Your institution connects its own gateway account, so the money goes straight to you.
Can parents pay fees online?
Not from the parent login. Online fee payment is done on the web, from the student login, through your institution's gateway. In the app, families can see the fee structure, their receipts and your bank details, but can't pay.
Can the office record cash and cheque payments?
Yes. The office records cash, cheque and bank payments and prints PDF receipts. Bank CSV uploads and suspense payments are handled too.
Does ProEMS add late fines automatically?
Yes. Fines are part of the fee set-up, and ProEMS applies late fines automatically every night. Fees are part of the Gold plan.
Can we send reminders to fee defaulters?
Yes, on the Platinum plan. Its advanced reports list defaulters and let you send them SMS reminders through your SMS provider. SMS charges are passed through at cost.

Pricing

How much does ProEMS cost?
Silver is ₹79, Gold is ₹169 and Platinum is ₹249 per student per year, plus 18% GST. The minimum is ₹12,000 a year before GST.
Do larger institutions pay less per student?
Yes. The first 500 students are at full price, students 501 to 1,500 at 85% of it, and students 1,501 to 5,000 at 70%. Above 5,000 students in one institution, we quote.
Are there any other charges?
There's no setup fee. Hosting and both apps are included. SMS and payment-gateway charges are passed through at cost.
How is ProEMS billed?
Annually in advance. Quarterly billing is available and costs 10% more over the year. Prices are before 18% GST.
Is there a free trial?
Yes. You can use ProEMS free for a month, and there's no lock-in contract after it.

Data and security

Where is our data stored?
On Amazon Web Services in Mumbai. The database is encrypted at rest and backed up automatically every day, with point-in-time recovery for the last 7 days.
Is our data kept separate from other schools?
Yes. Each institution has its own database and its own web address, for example yourschool.proems.in.
Who decides what each person can see?
Your institution does. For each module, your admin gives each role read-only or full edit rights, and every person signs in to a view that matches their role.
Can we export our data?
Yes. Your institution's data belongs to your institution. Student records and many reports export to Excel from inside ProEMS.

Security and hosting

The mobile app

Is there a mobile app for parents and staff?
Yes. The ProEMS app is on Android and iPhone for staff, parents and students. Each person enters your institution's code once, then signs in with their email and password. Students see their results and attendance in the app; parents see them in the parent login on the web.
Why is the iPhone app called ProIMS?
It's the same ProEMS app. The App Store listing still shows the name "ProIMS" and will be renamed ProEMS in a later update.
What can teachers do in the app?
Mark attendance, post school and class news, upload study material and photo albums, write daily progress reports and progress notes, and answer students' questions.
