01 · Admissions
An enquiry turns into an enrolment.
A parent enquires at the front desk. The office converts the enquiry to a candidate and emails the admission form link. The applicant fills it in from home, and the office confirms the seat.

02 · Attendance
Class 7-B is marked before first period ends.
Teachers mark attendance by class on the web or the staff app. Schools with RFID or barcode cards can scan them instead, and staff can sign in on a fingerprint scanner.

03 · Fees
The fee counter takes cash, cheques and online payments.
Counter payments get a PDF receipt to print, and online payments email a receipt to the student and parent. Late fines were already added overnight, and online payments come in through your own Razorpay, Stripe, Paytm, HDFC or PNB account.

04 · Exams
Marks go in once, and then they're locked.
Subject teachers enter marks against your grading scheme, along with co-scholastic and discipline grades. Once they're checked, the marks are locked so nothing changes by accident.

05 · Report cards
Report cards are ready as PDFs.
Results are processed for the whole class, with a rank list and percentiles for the staff room. Report cards come out as PDFs, ready to print or share.

Families hear about the day on their phones.
At 6 pm, parents on Android get a notification for each period their child missed. News, photo albums and the calendar arrive in the same app, and students also see their results and attendance there.

- Does ProEMS work for colleges as well as schools?
- Yes. One system serves both. Colleges get programs, courses, departments, terms, backlogs, subject approval, examination forms and admit cards, and the labels across the system can be switched to the terms your college uses.
- Can we start with only a few modules?
- Yes. Modules come in three plans, Silver, Gold and Platinum, and each plan includes everything in the one before it. Within your plan, each module can be switched on or off for your institution from Settings, and you can move up a plan whenever you need more.
- Where is our data stored?
- On Amazon Web Services in Mumbai. Your institution gets its own database and its own web address. The database is encrypted at rest and backed up automatically every day, with point-in-time recovery for the last 7 days.
- Is there a mobile app for parents and staff?
- Yes. The ProEMS app is on Android and iPhone for staff, parents and students. Each person enters your school's code once, then signs in with their email and password. On the App Store it's currently listed under the name ProIMS.
- Which payment gateways can we use for online fees?
- Razorpay, Stripe, Paytm, HDFC (through CCAvenue) and PNB. Your institution connects its own gateway account, and students pay online from the student portal on the web.
- Do you support biometric and RFID attendance?
- Yes. Students and staff can be marked with RFID cards or barcode scanners, and staff attendance also works with the Mantra MFS100 fingerprint scanner. Teachers can still mark attendance by hand on the web or in the app.
- Can we use our own certificate formats?
- Yes. Bonafide certificates, ID cards and library cards are generated as Word files from your own Word templates with merge fields, so they keep the layout you already use. Transfer certificates are issued as PDFs from the student record.
- Can we bring in our existing records?
- Yes. ProEMS has Excel import templates, so you can bring records across from the spreadsheets you use today.
- How much does ProEMS cost?
- Silver is ₹79, Gold is ₹169 and Platinum is ₹249 per student per year, plus 18% GST. There's no setup fee, hosting and both apps are included, and the minimum is ₹12,000 a year. Larger schools pay less per student above 500 students.
