For the school office

From the first enquiry to the TC, one office login.

The office is where every record starts and ends: the enquiry that becomes an admission, the student file, the bonafide a parent needs by Friday, the transfer certificate at the end. In ProEMS the office runs all of it on the web, and decides who else gets to see what.

In short

What does the school office do in ProEMS?

The school office keeps the institution's records and settings: it admits students, maintains student, parent and staff profiles, issues certificates and transfer certificates, exports the Council List and nominal roll, sends notices and SMS, and sets up classes, terms, timetables, roles and integrations.

All of it happens in a browser. The ProEMS apps are built for staff, students and parents, so admin and office work stays on the web, where there's room for long admission forms, Excel imports and PDFs.

The office also holds the keys. It switches modules on, creates roles such as Accountant or Coordinator, and gives each role read-only or full edit rights, module by module.

A working day

What does a day in the school office look like?

A day in the office on ProEMS is mostly people at the window and the paperwork they need, with the overnight housekeeping already done.

  1. 02:00

Roll numbers brought up to date

Every active section's roll numbers are refreshed overnight, so yesterday's new admission has one when the class teacher opens the register.

  2. 09:00

A Class 1 enquiry at the window

On Platinum, record the enquiry, convert it to a candidate and email the admission form link. The family fills it in from the link and can reopen it later with their reference number and email.

  3. 10:30

    A bonafide by noon

Pick the student and your bonafide template. ProEMS fills in the student's details from the record and gives you a Word file to print, sign and stamp.

  4. 12:00

    A family relocating

Open Student Transfer Certificate, check the details it has pulled from the record, add the reason for leaving and the date the name was struck off, and export the TC as a PDF. Her student login closes once it's issued.

  5. 14:00

    Board paperwork

Export Class 10's Council List as PDF or Excel, or the nominal roll as a PDF, straight from the student records, instead of retyping names from the register.

  6. 15:30

    A notice and an SMS

Post the PTM notice as school news, which reaches families' phones as an app notification within the hour on Android. On Platinum, follow up with a template SMS to this year's applicants.

  7. 17:00

A new teacher, ready for tomorrow

Add her staff profile, make her Class Teacher of 6-C and set her subjects under Staff Class Subject. Tomorrow she enters your organisation code in the staff app, signs in and takes the 6-C register.

What you'll use

What does the office use ProEMS for?

Records first, then everything that's printed, sent or set up from them. Cards marked Gold or Platinum need that plan; the rest come with Silver.

  • Student and parent records

Profiles with education details, comments and a webcam photo, parents linked to their children, promotion to the next class and optional subjects.

  • Council List and nominal roll

The Council List as PDF or Excel and the nominal roll as PDF, from the same student records, along with the day book and full student exports.

  • Roles and permissions

A role for each desk, with read-only or full edit rights per module, and Class Teacher or Subject Teacher roles on top.

  • School news and staff circulars

Notices for families and circulars for staff, with app notifications to families on Android when school news is posted.

  • From Gold

    Certificates and ID cards

Bonafide certificates, ID cards and library cards filled in from your own Word templates, with a log of each one.

  • From Gold

    Transfer certificates

A TC with its serial number, filled in from the student record and exported as a PDF. Issuing it closes the student's login.

  • From Gold

    Classes, terms and timetables

Set up classes, sections, subjects and terms, then build, clone and print each class's timetable.

  • From Platinum

    Admissions, enquiry to enrolment

Enquiries become candidates, candidates get an emailed form link they can reopen with a reference number, and an admit card for the entrance test or interview.

  • From Platinum

    Template SMS

Pick a template and send to students, staff or applicants through your own SMS provider.

Can the office work from the ProEMS app?

No. The ProEMS apps are built for staff, students and parents, so admissions, certificates, records and settings are done in a browser on the office computer, at your school's own address, such as yourschool.proems.in.

That suits the work. Admission forms, Excel imports and certificate templates need a full screen and a printer, and the phone is where teachers and families are, not the office.

How do you control what each desk can see?

With roles. The office creates a role for each desk, say Accountant, Admissions or Librarian, and gives it read-only or full edit rights (add, update and delete together) on each module that role should use. Class Teacher and Subject Teacher roles then decide which classes a teacher works with.

The menu follows the permissions, so the fee desk can work in fees without seeing exam marks, and a teacher's menu needn't show fees at all. User logs and change logs in Settings show who did what, which helps when a record changes and nobody remembers why.

How do certificates come out in your school's own format?

From your own Word templates. You upload the bonafide, ID card or library card layout you already use, with merge fields where the student's details go, and ProEMS fills them in and gives you a Word file ready to print.

Transfer certificates work differently: they use ProEMS's own TC form, filled in from the student's record, with a box for each of the usual entries from admission number to general conduct. For what a TC usually has to contain, see our transfer certificate format page, and the certificates feature for the rest.

How does the office move from registers and Excel to ProEMS?

Through two import screens, so nobody keys in a thousand records by hand. Import Student Data takes a workbook with a students sheet and a staff sheet; Import Excel in Settings takes parent profiles, subjects, exam schedules, PEN numbers and council numbers.

Exports go the other way, so student lists and the Council List come back out as Excel or PDF, and the nominal roll as PDF, whenever you need them. Our guide to moving from Excel to a school ERP covers the order to do it in.

FAQ

Questions we hear first.

Something else on your mind? Bring it to the demo and we'll answer it there.

Can we issue transfer certificates from ProEMS?
Yes, on the Gold plan. The TC is filled in from the student record with its own serial number, exported as a PDF to print, sign and stamp, and issuing it closes that student's login.
Can parents apply for admission online?
Yes, on the Platinum plan. The office emails an admission form link, the family fills in the form from that link and can reopen it with their reference number and email, the office issues an admit card PDF for the entrance test or interview, and then confirms or cancels the seat.
Can we create a role for a single desk, like admissions or fees?
Yes. Roles are created in Settings under Security, and each one gets read-only or full edit rights per module, so a desk sees only the screens it works in and changes only what it should.
Do we need our own SMS account?
Yes. Template SMS goes through your SMS provider's account, connected in Integrations, and SMS charges are passed through at cost.
How do new office staff learn ProEMS?
Help Videos in the menu has training videos inside ProEMS, and the admin can see view-time reports for staff and for students, so you know who has watched them.
