Who we are

This website, www.proems.in, is run by Transcloud Solutions Pvt Ltd (“we”, “us”), the company that makes ProEMS. Our head office is at J 324, Siddharth Elegance, Chhani, Navayard Road, Vadodara, Gujarat 390024, India.

Under India's Digital Personal Data Protection Act, 2023 (the DPDP Act), we are the Data Fiduciary for the personal data described in this policy. That means we decide why and how it's used, and we're responsible for it.

What this policy covers

This policy covers personal data we collect through this website: the demo, quote and contact forms, and the analytics and advertising tools the site uses. It also covers what you tell us when you phone or email us about ProEMS.

It doesn't cover the ProEMS software that schools and colleges use. Data inside an institution's ProEMS account, such as student and staff records, is added and controlled by that institution. If you're a parent, student or member of staff with a question about that data, please ask your institution first.

What we collect

When you send us a form

Your name, phone number and email address, and depending on the form, your institution's name, your role, the number of students, your city, the plan you're interested in and your message. We also record the page you sent it from and the time.

How you found us

If you arrived through an ad or a tagged link, we note the campaign tags in that link (such as utm_source, gclid or fbclid), the first page you landed on and the website that sent you. These are held in your browser for that visit only and are sent to us only if you send a form.

Technical details

When you send a form, our server records your browser's user-agent (its name and version) and a scrambled, one-way version of your IP address, which we use to stop spam and repeated submissions. We don't store your IP address itself. Cloudflare receives it during the spam check described below.

Analytics and advertising

On the live website, Google Analytics 4 and the Meta Pixel record the pages you visit, the buttons and links you click, whether you send a form, your device and browser, and your approximate location.

When you phone or email us

Your phone number or email address, and whatever you choose to tell us.

We don't ask for sensitive personal data. Please don't put a student's personal details in a form, an email or a message to us.

Why we use it

• To reply to you: to call you back, arrange a demo, send a quote or answer your question.
• To keep track of your enquiry, so the right person follows up and nothing gets lost.
• To understand which pages, searches and ads bring enquiries, so we can improve the website and our advertising.
• To protect our forms from spam and abuse.
• To meet our legal obligations.

When you send a form, phone or email us, you're giving us your details for a clear purpose: hearing back from us about ProEMS. We use them for that purpose. You can tell us to stop at any time.

We don't sell personal data.

Who we share it with

We use a few service providers to run this website and handle enquiries:

• Rivion CRM, the customer-relationship system where our team keeps track of enquiries.
• Our email provider, which delivers each form to our team's inbox.
• Cloudflare, which hosts this website and the form handler, including the log of forms received.
• Cloudflare Turnstile, which checks that a form is being sent by a person rather than a bot. It receives your IP address and information about your browser.
• Google, through Google Analytics 4, for website statistics.
• Meta, through the Meta Pixel, to measure and improve our ads on Facebook and Instagram. Meta may also use this data under its own policies.
• Government bodies, courts or regulators, when the law requires it.

Some of these providers may process data outside India.

Cookies and browser storage

• Google Analytics sets cookies named _ga and _ga_ followed by an ID, to tell visits apart.
• The Meta Pixel sets a cookie named _fbp, and _fbc when you arrive from a Facebook or Instagram ad.
• Our own code keeps the campaign tags described above in your browser's session storage, which is cleared when you close the tab.

The website works without cookies. You can block or delete them in your browser's settings, and Google offers a browser add-on that opts you out of Google Analytics on every website.

How long we keep it

We keep enquiry details for as long as we need them to deal with your enquiry and any business that follows, and for our records after that. We delete them when they're no longer needed, or sooner if you ask us to and the law allows it. Google keeps analytics data for the period set in our Google Analytics account.

How we protect it

Forms are sent over an encrypted (HTTPS) connection. The log of forms received is kept in a private folder on our web host that can't be reached from the web. Access to enquiries is limited to the people who need it to reply to you.

Your rights

Under the DPDP Act, you can:

• ask us for a summary of the personal data we hold about you, how we've used it and who we've shared it with;
• ask us to correct, complete or update it;
• ask us to erase it, unless the law requires us to keep it;
• withdraw your consent, or tell us to stop contacting you;
• nominate someone to exercise these rights for you if you die or become unable to;
• raise a grievance with us, and if we don't resolve it, complain to the Data Protection Board of India.

To use any of these rights, email hello@proems.in from the address you gave us, or phone us. We may ask you to confirm who you are before we act.

Children

This website is for schools, colleges and the people who run them. It isn't meant for children, and we don't knowingly collect children's personal data through it.
