For institutes

Institute management for courses that end in a placement.

Hotel management, pharmacy and other vocational institutes run diplomas and certificates side by side, take most of their students from outside, and care about placements as much as marks. ProEMS fits that shape: programs by department and level, enquiries from your sign-in page, course fees, exam forms with admit cards, and a placement record on every student.

In short

What does ProEMS do for a vocational institute?

ProEMS runs a vocational institute's admissions, records, fees and exams on one system, organised by department, program level and program, so a three-year diploma and a one-year certificate sit side by side.

People who aren't students yet can send an enquiry and apply from your sign-in page. Fees are collected at the counter or paid online by students, exam forms and admit cards come out of the exam cell, and each student's placement is kept on their profile.

Taking applications from outside is part of the Platinum plan. Programs, fees, exams, exam forms, admit cards and placement records come with Gold or Silver, as the pricing page shows module by module.

What you'll use

Which ProEMS features does an institute use?

An institute's year leans on these eight, from the first enquiry to the placement record.

  • From Silver

    Programs and courses

Add departments such as Hospitality or Pharmacy, program levels such as Diploma and Certificate, then each program with its codes and duration. Courses sit under their department.

  • From Platinum

    Enquiries from outside

Turn on outside admissions and your sign-in page shows an Enquiry button. The form asks for the program level, class and the best time to call back.

  • From Platinum

    Applications and enrolment

Email the admission form link, let applicants fill it in and come back to it with their reference number, then confirm or cancel each seat.

  • From Gold

    Course fees

Fee heads per class with how often they're charged, one-time charges such as a kit fee, concessions and a daily late fine.

  • From Gold

    Internal and external marks

Flag each exam subject as internal or external, enter and lock the marks, and the results bring them together in one total.

  • From Gold

    Exam forms and admit cards

Students confirm their exam subjects, four staff roles each sign off, and the admit card prints with the photo, subject codes and any back papers.

  • From Silver

    Placement records

Keep every placement on the student's profile with the offer document attached, then export a class's placements to Excel.

  • From Gold

    Certificates

Bonafide certificates and ID cards from your own Word templates, and a transfer certificate from the record when a student leaves.

Through the year

How does an institute's year run on ProEMS?

It runs in stages rather than months, because institutes rarely start every course on the same day. These are the stages a batch goes through.

  1. Enquiry

    Questions from would-be students

A school-leaver opens your sign-in page, clicks Enquiry and leaves a name, number, program and a good time to call. The admissions desk picks it up in Pre-Admission.

  2. Admission

Form link, then a confirmed seat

Send the admission form link by email. The applicant fills it in, reopening it with their reference number and email if they need to, and you confirm or cancel the seat.

  3. Week 1

    Fees and the first instalment

Course fees are already set per class. The accounts desk takes the first instalment by cash or cheque, or the student pays online from the student login.

  4. Practicals

    Internal marks through the term

Faculty enter internal marks as assessments happen, then lock them so nothing changes by mistake before the results.

  5. Exams

    Exam forms and admit cards

Students confirm their subjects, staff approve the form, and admit cards print once every approval is in. Anyone below the passing marks shows up in Backlogs.

  6. Placement

    Placed, and on record

The placement officer adds the organisation, position, package and offer document to each student's profile, so the institute's placement list is one Excel export away.

Can applicants who aren't students yet apply through ProEMS?

Yes. With outside admissions switched on, your ProEMS sign-in page shows an Enquiry button anyone can use, and with enrolment switched on it also shows Apply for Admission.

Enquiries land in Pre-Admission, where you turn them into candidates, email the admission form link and confirm or cancel each application. Applicants can reopen their form with their reference number and email. These are Platinum features; the admissions page has the full flow.

How do we set up diplomas and certificate courses?

You set each one up as a program: it belongs to a department and a program level, with a numeric code, an alpha code and its duration in years.

Classes then sit under programs, so in the college set-up attendance, timetables, exams and certificates all filter by department, program level and program. Courses are kept per department with their own codes.

How does ProEMS keep placement records?

Each student profile has a Placement tab where you record the organisation, position, package, date and place, and attach the offer document.

When you export students to Excel, you can tick the placement columns, so a whole class's placements come out as one sheet for your prospectus or the next open day.

FAQ

Questions we hear first.

Something else on your mind? Bring it to the demo and we'll answer it there.

Is ProEMS suitable for a hotel management institute?
Yes. A hotel management institute can set up its diplomas and certificates as programs under a Hospitality department, take enquiries from outside applicants, collect course fees, run exam forms and admit cards, and keep placement records on each student.
Does ProEMS file anything with regulators or universities?
No. ProEMS keeps your records and produces documents and Excel exports, such as admit cards, results and placement lists, but it doesn't connect to or file with any regulator, council or university.
Can students pay course fees online?
Yes. Students pay online from the student login on the web, through your institute's own Razorpay, Stripe, Paytm, HDFC (via CCAvenue) or PNB account. Parents see fees and receipts in the app but don't pay there.
Can several courses run at the same time?
Yes. Each course is its own program with its own classes, so several can run together, each with its own students, timetable and fees.
Can practical and theory marks be kept apart?
Yes. Exam subjects can be flagged internal or external, so a practical and a theory paper are entered separately and then added together in the result.
