For schools

School ERP that runs the year, from admission to TC.

ProEMS is school management software for Indian schools, from kindergarten to Class 12. The office, the accounts desk, teachers and the principal work on the web, parents, students and staff get the ProEMS app, and every child has one record that follows them through the year.

In short

What does ProEMS do for a school?

ProEMS keeps a school's whole year on one system: admissions, student records, daily attendance, fees, timetables, exams, report cards, certificates and transfer certificates, with an app for parents, students and staff.

Each school gets its own database and its own web address, such as yourschool.proems.in. You switch on the modules you use, and each role gets read-only or full edit rights per module, so people see only what their role allows.

Gold covers what most schools need first: fees, exams and report cards, certificates and TCs. Admissions, the library, transport and payroll come with Platinum, as the pricing page lays out module by module.

What you'll use

Which parts of ProEMS does a school use most?

Schools lean on these nine, from the first enquiry to the last TC. Each card opens the full feature page.

  • From Platinum

    Admissions

Record enquiries, turn them into candidates, email the admission form link to families and confirm or cancel each seat.

  • From Silver

    Student records

One profile per child, linked to the parents, with promotion to the next class, the day book and Excel import and export.

  • From Silver

    Daily attendance

Teachers mark the class on the web or the staff app, students can scan an RFID card or barcode, and mass attendance covers many classes in one go.

  • From Gold

    Fees, counter and online

Fee heads per class, concessions and a daily late fine. Take cash or cheque at the counter, and students can pay online from their own login.

  • From Gold

    Timetable

Schedule each class's periods by date and time with a teacher on each, export the timetable as a PDF, and teachers and students each see their own.

  • From Gold

    Exams and report cards

Set your grading scale, enter and lock marks, add co-scholastic grades and print a whole class's report cards in one go.

  • From Gold

    Certificates and TCs

Bonafide certificates and ID cards from your own Word templates, and transfer certificates straight from the student record.

  • From Silver

    The ProEMS app

Parents, students and staff sign in with your organisation code. Students get attendance, news and, on Gold, results and fees; parents get news, messages, photos and attendance alerts on Android.

  • From Silver

    News and messages

Post school, class and staff news to the right people, and keep message threads between teachers and families.

Through the year

How does a school year run on ProEMS?

It follows the same rhythm as your paper year, with ProEMS doing the counting. Here's a typical April to March session.

  1. Jan

    Enquiries and applications

On Platinum, enquiries come in from your sign-in page and the front desk. Shortlisted families get the admission form link by email and fill it in online.

  2. Mar

    Promotion and next year's fees

Promote students to their next class from the progression screen, then set the new session's fee heads ready for April.

  3. Apr

    First day, first register

Teachers mark attendance on the web or the staff app from day one. Students see it in the app, and parents get an app notification on Android within the hour.

  4. Monthly

    Fees, fines and receipts

The accounts desk collects at the counter, students pay online, and at 1 am ProEMS adds the late fine to every bill past its due date.

  5. Sep

    Half-yearly exams

Teachers enter marks subject by subject and lock them. The office prints every report card in the class as PDFs in one go.

  6. Any day

    Certificates on request

A bonafide certificate for a scholarship or a passport office: pick the student and your template, and print the Word file it makes.

  7. Year end

    Results and TCs

Final report cards print as PDFs and results show in the student app. Students who leave get a TC from their record, and their login is switched off.

Does ProEMS work for CBSE, ICSE and state board schools?

Yes. ProEMS isn't tied to one board: you set your own grading scale, terms, exams and co-scholastic areas, so the same system serves CBSE schools, ICSE and ISC schools and state board schools.

For ICSE and ISC schools, the Council List and nominal roll come straight from the student records. ProEMS produces documents from your settings and records; it doesn't connect to any board's systems.

What do parents see in the ProEMS app?

Parents get news, photo albums, the calendar, messages, and the fee structure with receipts and your bank details, plus a notification on Android when their child is marked. Results and the full attendance record are in the parent login on the web. Parents sign in with their email and password and your school's organisation code.

Online fee payment is made by the student, from the student login on the web, through your school's own payment gateway. The app shows fees but doesn't take payment. When attendance is taken period by period from the timetable, parents get an app notification on Android at 6 pm for each period their child missed.

How do we move from registers and Excel to ProEMS?

You move by bringing your Excel sheets in: the student list comes in from an Excel workbook on the Import Data screen, and parents, subjects and exams have their own Import Excel sheets. Classes, fee heads and exams are then set up in settings.

Our guide to moving from Excel to a school ERP walks through what to tidy up first, and on the demo we'll look at your sheets with you.

Where is our school's data kept?

Your school's data is kept in its own database on Amazon Web Services in Mumbai, encrypted at rest, with daily automated backups and 7-day point-in-time recovery.

No other school shares your database or your web address, and you can export your student records and results to Excel whenever you need them.

Which plan

Which ProEMS plan suits a school?

Gold, at ₹169 per student a year plus GST, is the plan we suggest for most schools, because it adds the three jobs that take up the office's time: fees, exams with report cards, and certificates with TCs.

  • Fee heads, concessions, late fines, counter collection and online payment by students
  • Exams with mark locking, report card PDFs and a rank list with percentile
  • Bonafide certificates, ID cards and transfer certificates from the student record
  • Timetables, homework, study material and the school calendar

Platinum adds admissions from enquiry to enrolment, the library, transport records, staff leave and payroll, and advanced fee reports such as the defaulter list with SMS reminders.

FAQ

Questions we hear first.

Something else on your mind? Bring it to the demo and we'll answer it there.

Is ProEMS a school ERP or school management software?
It's both: in Indian schools the two terms mean the same thing. ProEMS puts admissions, fees, exams and parent communication on one system, so every module works from the same student record.
Do parents pay fees in the app?
No. Parents see the fee structure, receipts and your bank details in the app. Online payment is made by the student from the student login on the web, through your school's own payment gateway.
Do we have to take every module?
No. You switch on only the modules your school uses, within the plan you choose, and your settings decide what staff, parents and students see.
Does ProEMS work on phones?
Yes. There are Android and iOS apps for staff, students and parents. Office work such as fee set-up, exam settings and certificates is done on the web.
Can we print report cards for a whole class at once?
Yes. The Result (bulk) button makes a report card PDF for every student in the class and downloads them together as one zip file.
