For state board schools

Results day, TC requests and the fee counter, all from one record.

A state board school's office lives on marks, rank lists, transfer certificates and fees paid at the counter. ProEMS keeps each student's record once and prints the report card, the rank list and the TC from it, while the accounts desk takes cash and cheques and teachers mark attendance.

In short

What does ProEMS do for a state board school?

ProEMS handles the four jobs a state board school's office repeats all year: results with report cards and a rank list, transfer certificates from the student record, fee collection at the counter, and daily attendance.

You set the exams, the maximum and passing marks and the grading for your school, so ProEMS follows your pattern rather than a built-in one. It doesn't connect to any board or government portal.

Every school gets its own database and web address, and parents follow attendance and results in the parent login, with attendance alerts in the ProEMS app on Android. See how the rest of the year runs on the schools page.

What you'll use

Which ProEMS features does a state board school use every week?

Seven, mostly. Results and TCs come round at set times of the year; fees and attendance never stop.

  • From Gold

    Rank list

Rank a section by total marks on the results screen, then export the rank list as a PDF with percentage and percentile, or the full results to Excel.

  • From Gold

    Report cards in bulk

Print every report card in a section with one click. ProEMS downloads them as a zip of PDFs, one per student.

  • From Gold

    Transfer certificates

The TC fills in the student's details, your next serial number and the fee concession from the record. Check it and export the PDF.

  • From Gold

    Counter collection

Take fees in cash or by cheque, keep the cheque details against the receipt, and close the day with the daily fee collection by payment method.

  • From Gold

    Late fines

Set a fine per day and ProEMS adds it to overdue bills every night at 1 am, noting the days and the rate on each bill.

  • From Silver

    Daily attendance

Teachers mark the class on the web or the staff app. If attendance is taken period by period from the timetable, parents get an app notification on Android at 6 pm.

  • From Silver

    Day book and student lists

Print a class's day book, or export the student list to Excel or PDF with the columns you pick.

Through the year

How does a state board school's year run on ProEMS?

It runs through the same six moments every year, whichever month your session starts.

  1. Admission

    One record per child

The office adds the student once, with parents, date of birth and subjects. Every later list, report card and TC reads from that record.

  2. Mornings

    Attendance before first period

Teachers mark their class on the web or the staff app, and parents see it in the parent login, with an app notification on Android.

  3. Monthly

    Fees at the counter

Families come in with cash or a cheque, the accounts desk prints the receipt, and students who prefer can pay online from their own login.

  4. Exam week

    Marks entered and locked

Subject teachers enter marks against your maximum and passing marks, and lock them when they're done.

  5. Result day

Report cards and the rank list

The office prints the section's report cards as a zip of PDFs, and the rank list with percentage and percentile is ready for the notice board.

  6. Leaving

    TCs without the queue

Pick a leaving student, check the details ProEMS fills in from their record and export the TC as a PDF. Their login is switched off as the TC is issued.

How does ProEMS rank students and work out percentile?

ProEMS ranks a section by total marks, highest first, and gives each student a percentile equal to the share of the class who scored lower than them.

So in a class of 50, the topper's percentile is 98, and the student ranked tenth, with no ties above, is at 80. Students on the same total share a percentile. The rank list PDF shows rank, name, obtained and total marks, percentage and percentile, and the results Excel carries the percentile too.

What does a ProEMS transfer certificate include?

A ProEMS TC carries 21 numbered entries, among them the admission number, date of birth as in the admission register, parents' names, category, the class last studied, the last exam and its result, promotion, fee concession, dues paid, the date struck off the rolls, the reason for leaving, school days attended, general conduct and remarks. ProEMS fills the entries it holds in the student record; the office confirms dues and completes the rest.

The serial number comes from your own numbering sequence, and once the TC is generated the student is marked as left and their login stops working. To compare it with the TC you use today, see our transfer certificate format.

Can families still pay at the school counter?

Yes. The accounts desk takes cash and cheques at the counter, records bank transfers, and prints a PDF receipt for every payment. At closing time the Transactions screen gives the day's collection by payment method and the abstract daily collection.

Students can also pay online from their own login on the web, through your gateway. Parents see the fee structure, receipts and your bank details in the app, but the app doesn't take payment. More on this on the fees page.

Does ProEMS work in our regional language?

ProEMS works in English: its screens, report cards and TCs are all in English.

Certificates such as the bonafide come from Word templates you supply, so their wording is yours. If you need a regional-language document, ask us on the demo and we'll tell you what's possible.

FAQ

Questions we hear first.

Something else on your mind? Bring it to the demo and we'll answer it there.

Does ProEMS follow our state board's report card format?
ProEMS prints its own report card layout from your exams, maximum and passing marks and grading scale. It doesn't come with any board's official format, so bring your current card to the demo and we'll show you how close it gets.
Can we keep using cash and cheques?
Yes. Cash and cheque are an everyday way to collect in ProEMS: the counter screen records them with a PDF receipt, and the day's collection by payment method comes from the Transactions screen.
Does ProEMS connect to the education department's portal?
No. ProEMS doesn't connect to any board or government portal. It keeps your student records and exports them to Excel, which your office can use when it fills in those portals.
Does ProEMS fill in the transfer certificate?
Yes. Pick the student and the TC is filled from their record, so the office checks it, adds what the record doesn't hold, such as the reason for leaving, and exports the PDF. The student's login closes as the TC is issued.
Do parents get attendance updates?
Yes. Parents see attendance details in the parent login on the web and get an app notification on Android within the hour of each mark. If attendance is taken period by period from the timetable, they also get one at 6 pm for each period missed.
