Library

School library software that remembers who has what.

Scan a book's barcode to issue it and scan it again when it comes back. ProEMS works out any fine, emails students whose books are overdue every morning, and keeps the reports ready for the day the principal asks how the library is doing.

In short

What does the ProEMS library module do?

The library module keeps every book, loan and fine in one register. Books are issued and returned by barcode, late returns get a fine worked out from your daily rate, and students with overdue books get an email reminder each morning.

You set the rules once: how many days a book can be kept, how many books a student can hold, a separate limit for staff, and the fine per day. ProEMS checks them every time a book goes out.

Library is part of the Platinum plan. Library cards come from the certificates module, printed from your own Word template, and Platinum includes that too.

  • Barcode issue and return, with borrowing limits checked at the desk
  • Fines at a daily rate, with part payments and waive-offs on record
  • An overdue email to students every day at 10 am
  • Excel and PDF reports for fines, overdue books and books issued

Which plan includes it?

Barcode issue and return, fines, overdue reminders and reports

Platinum is ₹249 per student a year, plus 18% GST. Each plan includes the one before it.

Compare the plans

Who uses it?

  • Librarians

Issue, return and reissue books by barcode, collect or waive fines, and work through the overdue list.

  • The office

Sets the loan period, book limits and daily fine, imports the book list and prints library cards.

  • Students

Borrow within their limit and get an email when a book is overdue.

  • Teachers

Borrow books on the separate staff limit the school sets.

  • Principals

Check the library dashboard and the fine, overdue and issued reports.

What it does

What can the librarian do in ProEMS?

Everything the issue register and the fine book used to hold, plus checks they never could. These are the parts the desk uses daily.

  • Issue by barcode

Scan or type a book's barcode and pick the student or staff member. A book that's already out is stopped, and the borrower's limit is checked.

  • Returns and unfit copies

Scan the barcode to find who has the book and take it back. A torn or damaged copy can be marked unfit as it comes in.

  • Reissue

Give a reader more time by reissuing the book to them with a new return date, without a return and a fresh issue.

  • Fines and part payments

For a late return, ProEMS fills in the days late and your daily rate and works out the fine. Record a full or part payment, and the balance stays on record.

  • Waive-offs on record

Waive a student's fine when there's good reason. ProEMS notes who waived it and when, and a waive-off can be reversed.

  • Library dashboard

Total, issued, in-stock and unfit books, journals and reference books, fines collected today, and summaries by category, with departments for colleges.

  • Reports in Excel and PDF

Fines paid between two dates, overdue books and books currently issued, each as an Excel file or a PDF.

  • Book import from Excel

Bring in your catalogue from a spreadsheet. Each row needs a title and a unique barcode, and duplicate barcodes are flagged row by row.

  • Library cards

Print students' library cards from your own Word template, through the Certificates module.

How it works

How does a library run on ProEMS, from set-up to reports?

In five steps. The first two happen once, and the rest is the everyday rhythm of the issue desk.

  1. 1

    Set the library rules

In the library settings, enter the loan period in days, the most books a student can hold, a separate limit for staff, and the fine per day.
  2. 2

    Import the books

Upload your book list from Excel with a title and a barcode for each copy, marking journals and reference books, then fix any rows flagged as duplicates.
  3. 3

    Issue at the desk

Scan the barcode, choose the borrower and confirm. The return date follows from your loan period, and the limits are checked before the book leaves.
  4. 4

    Take returns and settle fines

Scan the book back in. If it's late, collect the fine, take part of it, or waive it. Reissue anything the reader needs for longer.
  5. 5

    Let reminders and reports chase

At 10 am each day, students holding overdue books get an email. When the office wants numbers, export the fine, overdue or issued report, or open the dashboard.

Runs on its own

What does the library module do on its own?

One job runs every morning, so overdue books are followed up without the librarian writing a single reminder.

  • 10:00

    Overdue reminders are emailed

Each student holding a book on or past its return date gets an email with the title, the due date and the days overdue. Email must be switched on for your institution.

How are library fines worked out?

A library fine is your daily rate multiplied by the days a book is late. At ₹2 a day, a book returned nine days late carries an ₹18 fine.

Each fine is recorded against the student with the amount paid and the balance, so a part payment today and the rest next week both show. If that student comes to borrow again while a fine is pending, the desk sees a warning first. Library fines are kept in the library module, separate from the fee bill.

Can teachers and other staff borrow books too?

Yes. Books can be issued to staff members as well as students, and staff have their own limit on how many books they can hold at once.

Fines and the 10 am overdue email apply to student loans, so keep an eye on staff loans through the overdue report.

Do you need special barcode hardware?

No special hardware is needed. The barcode goes into a text box, so a standard scanner that types the code in works, and the librarian can also key the number by hand.

ProEMS doesn't print barcode labels. Use the barcodes already on your books, or print labels separately, with one unique code per copy.

What library reports can you run?

The library reports cover fines paid between two dates, overdue books and books currently issued, each as an Excel file or a PDF.

The dashboard gives the day-to-day picture, and the full book list exports to Excel for the year-end stock check. All of it sits alongside the school's other reports and exports.

Good to know

What should you know before moving your library to ProEMS?

Four practical points for the librarian and the office.

Labels are printed elsewhere
ProEMS reads barcodes but doesn't create them. Keep the codes already on your books or print new labels outside ProEMS.
Reminders reach students only
The daily overdue email goes to the address on the student's profile, and only when email is switched on. Staff loans don't get it.
Fines stay in the library
Library fines are collected and reported in the library module. They don't appear on the student's fee bill.
Not in the apps yet
Students and parents don't see library loans in the app or the student login. The librarian sees every loan in ProEMS.

FAQ

Questions about library management.

Short answers to what schools and colleges ask us most. Anything else, bring it to the demo.

Which plan includes the library module?
The library module is in the Platinum plan. Library cards are made in the Certificates module, which Platinum also includes.
Can we import our existing book list?
Yes. Upload an Excel file with a title and a unique barcode for each copy. ProEMS flags rows with duplicate barcodes so you can correct them.
Does ProEMS send overdue reminders?
Yes. Every day at 10 am, students with overdue books get an email with the book title, the due date and the days overdue, as long as email is switched on for your institution.
Can a librarian waive a fine?
Yes. A student's fine can be waived from the issue list, and ProEMS records who waived it and when. A waive-off can be reversed if it was made by mistake.
Can one copy of a book have the same barcode as another?
No. Every copy needs its own barcode, because the barcode is how ProEMS knows which copy went to which reader. The import flags any barcode that repeats.
