Student information system

Student records that follow every child up the school.

Each student has one profile with their numbers, parents, subjects, documents, attendance and results. The office promotes whole sections at year-end, moves data in and out through Excel, and prints the day book, nominal roll and Council List straight from the student list.

In short

What is the student information system in ProEMS?

It's the student record at the centre of ProEMS: one profile per student holding their numbers, parents, class and subjects, documents and history, which every other module reads. Attendance, fees, results and certificates all hang off the same record, so they all read the same details.

Around it sit the lists the office prints every term: student lists in Excel and PDF, the day book, the nominal roll and the Council List. Parent and staff records live alongside, each with a login of their own.

Student, parent and staff records come with every plan, starting with Silver. See pricing for the modules each plan adds on top.

  • A tabbed profile with Info, Certification, Education Details, Attendance, Result, Subjects and more
  • Year-end promotion of selected students to the next class, section and session
  • Excel in and out: import students and staff, export any list with the columns you choose
  • Registers on demand: day book, nominal roll and Council List, boys first and then girls

Compare the plans

Who uses it?

  • The office

Adds and imports students, keeps profiles current, promotes sections and prints the registers.

  • Principals

See active students, parents and alumni counts on the dashboard, and open the lists from there.

  • Teachers

Open a student's profile, parents and subjects, as far as their role allows.

  • Parents

Have a login of their own, linked to their children's records.

What it does

What does a student record in ProEMS hold, and what can you do with it?

It holds a child's numbers, family, subjects and documents, and comes with the tools to keep a whole school's records current from one year to the next.

  • Every number in one place

Admission, registration, roll, account and security numbers sit on the Info tab with Aadhaar, PEN, ABC ID, Council UID, RFID and barcode, plus house and previous school.

  • Parents linked to children

Attach parents to their children, keep an emergency contact, and give each parent a login of their own for the web and the app.

  • Photo from the webcam

Take the student's photo with the office webcam or upload one, and keep their signature on the profile for the Council List and ID cards.

  • Promotion at year-end

Tick the students in a section and move them to their next class, section and session in one go, or to an alumni class when they finish.

  • Optional subjects

Set each student's optional subjects once. The nominal roll and the Council List both pick them up.

  • Excel import and export

Import students and staff from Excel, then update PEN numbers, council numbers or parent profiles in bulk. Export any list with the columns you pick.

  • Registers and the Council List

Print the day book and the nominal roll as PDF, and the Council List as PDF or Excel, each in alphabetical order with boys first.

  • Staff records

Staff profiles with their roles, classes and subjects, and fingerprint capture on the profile if you use a Mantra MFS100 scanner.

  • From Gold

    Transfer certificates

When a student leaves, issue the TC from the same record, with the student's details filled in for you.

How it works

How do you set up and keep student records in ProEMS?

Most schools start from the spreadsheet they already keep. From there it's five steps, and the last one repeats every year.

  1. 1

    Import what you have

Fill the student and staff Excel templates and import them on Import Student Data. PEN numbers, council numbers and parent profiles can follow in their own uploads. Our guide to moving from Excel to a school ERP covers the clean-up first.
  2. 2

    Complete each profile

Take photos on the webcam, attach parents, record the previous school and its TC number, and upload documents to the Certification tab with their validity dates.
  3. 3

    Set optional subjects

Give each student their optional subjects. The nominal roll and the Council List read them from here, with a count of boys and girls for each subject.
  4. 4

    Print registers when asked

Filter the student list by class and print the day book, the nominal roll or the Council List, or export the list with your own choice of columns.
  5. 5

    Promote at year-end

On Student Progression, move each section to its new class and session, creating the new session's fee orders as you go. Repeaters are flagged in the list.

Runs on its own

What does ProEMS update in student records on its own?

One job runs every night, so the roll numbers on every profile match the register.

  • 02:00

Roll numbers are set from the register

For each active section, ProEMS numbers students in nominal-roll order: alphabetical, boys first, then girls, and saves the roll number on every profile.

Can ProEMS print the CISCE Council List and nominal roll?

Yes: pick a class in the student list and ProEMS prints the nominal roll as a PDF and the Council List as a PDF or an Excel file (XLSX or CSV), with students in alphabetical order, boys first and then girls.

The Council List carries columns such as Council UID, admission and account numbers, date of birth, caste, religion, parents' names, optional subjects, photo and signature. The Excel version adds a column for each optional subject, and an optional-subject summary counts boys and girls in each. Our guide to CISCE registration and the Council List explains where these lists fit.

How does promotion work at the end of the year?

You promote from the Student Progression screen: choose a class and section, tick the students, and move them to their new class, section and session in one step. Students who have finished can move to an alumni class instead.

As you move them, you can create the new session's fee orders, change the section on the current order, and keep the optional subjects they already had. The list shows who already has a fee order and who is a repeater, and a progression log keeps each move.

Does it work for college students too?

Yes. The same record serves colleges, with department, programme level, programme and enrolment number on the profile once ProEMS is set up for a college.

The Placement tab records the organisation, position, package and date of a placement, and the examination form and admit card list each student's compulsory, optional and backlog subjects. Education Details keeps earlier qualifications with board or university, marks and percentage. See ProEMS for colleges for the rest of the college set-up.

Can we bring our existing student data across from Excel?

Yes. Import Student Data takes students and staff from Excel, and Import Excel in Settings handles follow-up uploads such as PEN numbers, council numbers, parent profiles, subjects and exams.

Going the other way, every student list exports to Excel or PDF with the columns you choose, with up to ten columns on a PDF so it stays readable. If you're weighing a system against staying on spreadsheets, see ProEMS vs Excel.

Good to know

What should you know before moving student records onto ProEMS?

Four points that catch schools out if nobody mentions them.

Roll numbers follow the register
Every night ProEMS renumbers each section alphabetically, boys first. A roll number typed by hand won't stay, and a mid-year admission can shift the numbers after it.
No APAAR or UDISE+ export
The profile holds PEN and ABC ID, but there's no APAAR ID field and no UDISE+ file export. Those stay on the government portals.
PDF lists stop at ten columns
Student list PDFs take up to ten columns so they fit the page. Use the Excel export when you need a wider sheet.
Fingerprints need the scanner
Staff fingerprint capture needs a Mantra MFS100 scanner and its client software on the office PC.
