Communication & SMS

School communication that reaches the right people.

Post a notice to the whole school, one section or only the staff. Families read it in the ProEMS app, parents can write to their child's teachers, and a template SMS covers the messages that can't wait for anyone to open an app.

In short

What does ProEMS do for school communication?

ProEMS gives each kind of message its own channel: news for the whole school, one class or the staff, a messenger for one-to-one questions, photo albums for events, and template SMS when a notice has to reach a phone today.

Parents and students see news, photos, the calendar and their messages in the ProEMS app. On Android the app also shows a notification when news, photos or attendance updates arrive, so families don't have to keep checking.

News, circulars, the messenger, photo albums and FAQs come with every plan from Silver. The calendar and events are in Gold, and template SMS is in Platinum. The pricing page lays the plans side by side.

  • News by audience: the whole school, one class and section, or staff only
  • Read receipts on staff circulars, with the time each person read it
  • App notifications on Android for news, photos and attendance, sent every hour

Who uses it?

  • The office

Posts school news, emails families from their lists, sends template SMS and keeps the FAQs and calendar up to date.

  • Teachers

Post class news and album photos from the web or the staff app, and answer parents in the messenger.

  • Parents

Read news, browse photos and the calendar in the app, and message the class teacher or the principal.

  • Students

See school and class news in the app or on the web, and message the teachers of their section.

  • Principals

Send staff circulars, check who has read them, and message anyone in the school.

What it does

What can you send, post and share with ProEMS?

Notices, conversations, photos, dates and SMS, each to the people it concerns. These are the tools the office and teachers reach for most.

  • News for school, class or staff

Post with a subject, category, date and attachments, to the whole school, one class and section, or the staff alone.

  • Circulars with read receipts

Each staff circular has a report of who has read it and when, so you know exactly who still needs a word.

  • Messenger

Parents and students write to the principal or to the teachers of their own section. The principal and the office can message anyone.

  • Photo albums

Share sports day and class photos in albums families browse in the app. Teachers can upload straight from the staff app.

  • App notifications

On Android, families get a notification for new school or class news, new album photos, new certificates and attendance.

  • Email with attachments

Pick students, parents or staff from their lists and email them a message with files. Everyone is in BCC, so addresses stay private.

  • Your own FAQs

Answer the questions families ask every term once, and they can look them up in the app instead of calling the office.

  • From Gold

    Calendar and events

Put holidays, exam weeks and events on the school calendar, and parents and students see them in the app.

  • From Platinum

    Template SMS

Choose a template, fill tags like the student's name, class or balance, and send it to students, staff or applicants.

How it works

How does a notice get from the office to every family?

It takes five steps, and the app does the delivering. Here is a class trip notice from start to finish.

  1. 1

    Choose who it's for

Open class news and pick the class and section, so a trip notice for 7-B reaches only 7-B. School news and staff circulars work the same way.
  2. 2

Write it and attach the form

Add a subject, a category and the event date, write the notice and attach the consent form as a file.
  3. 3

Post from the web or the staff app

The office posts from the web. A class teacher can post the same notice, or add the trip photos afterwards, from the staff app.
  4. 4

Families see it in the app

The notice is in the parent and student app as soon as it's posted. Within the hour, Android phones also get a notification about it.
  5. 5

    Answer questions and follow up

Reply to parents in the messenger as their questions come in. On Platinum, send a template SMS reminder to the section the day before the trip.

Runs on its own

What does ProEMS send to families on its own?

Two scheduled jobs send app notifications, so news and absences reach parents without anyone remembering to tell them.

  • Every hour

    New updates reach families

Parents and students get app notifications for news, album photos and certificates added, and attendance marked, in the past hour. This works on Android today.

  • 18:00

    Parents hear about missed periods

Where attendance is taken period by period, parents get an app notification for each period their child missed that day, with the subject and time.

How do parents hear from the school in ProEMS?

Parents hear from the school mainly through the ProEMS app, where they see school and class news, photo albums, the calendar, their messages and your FAQs. On Android, a notification tells them when something new has arrived.

For notices that must land today, the office can email parents straight from the parent list or, on Platinum, send a template SMS. Our guide to school and parent communication looks at which channel suits which kind of message.

Can parents message teachers directly?

Yes. Parents and students can message the principal and the teachers who teach their child's class and section, from the app or the web.

Parents can't message other parents, and students can't message other students. Conversations stay between home and school, which keeps the messenger from turning into a class group chat.

How does SMS work in ProEMS?

SMS in ProEMS is template-based: you pick a saved template, choose the students, staff or applicants, and ProEMS fills in the tags for each person before sending. Tags cover things like the student's name, class and section, admission number, fee balance, or a line you type yourself.

Before sending, ProEMS checks your SMS balance covers the batch. Afterwards it shows which messages went and which numbers were missing or in the wrong format. If a student has no mobile number, the message goes to the father's number, then the mother's. Every message lands in the SMS log, which exports to Excel.

Template SMS is in the Platinum plan. It runs on your institution's own SMS account, and SMS charges are passed through at cost.

Can you see which staff have read a circular?

Yes. Every staff circular has a read report that lists each staff member who opened it and the time they read it.

Circulars can carry attachments and a valid-till date, so an invigilation duty list for exam week goes out as a file, with the date it applies until.

Good to know

What should you know before relying on ProEMS for school communication?

Four honest limits, so the office plans around them from the first week.

Notifications are on Android
App notifications work on Android phones today. Families on iPhone see the same news and photos when they open the app.
Notifications go out hourly
News and photos notify families on the next hourly run, not the second you post. Use SMS for anything that truly can't wait.
SMS needs an SMS account
Template SMS sends through an SMS account in your institution's name, set up in the integration settings. Ask on the demo which providers can be connected.
Albums are for photos
Photo albums take JPG, PNG and GIF images. Video clips from events need to be shared another way.

FAQ

Questions about school communication.

Short answers to what schools and colleges ask us most. Anything else, bring it to the demo.

Which plan includes school communication?
News, staff circulars, the messenger, photo albums and FAQs come with every plan from Silver. The calendar and events are in Gold, and template SMS, surveys and the forum are in Platinum.
Do parents get notifications on their phones?
Yes, on Android. The ProEMS app shows a notification for new school and class news, album photos, certificates and attendance, sent on an hourly run. Notifications don't reach iPhones, so families on iPhone see news and photos when they next open the app.
Can we send SMS to parents?
Yes, on the Platinum plan, from the student list. Each SMS goes to the mobile number on the student's record, or to the father's and then the mother's number when that is empty.
Can teachers post news from their phones?
Yes. Teachers can post school and class news and add photos to albums from the ProEMS staff app, as well as from the web.
Can we email all the parents of a class?
Yes. Select the parents from the parent list and send an email with a subject, message and attachments. Recipients are added in BCC, so families don't see each other's addresses.
