Fees & online payments

School fee management that adds up by itself.

Set each class's fees once. ProEMS adds late fines overnight, takes cash, cheque, bank transfer and online payments, issues the receipt and keeps every balance current, so the accounts desk closes the day with the totals already done.

In short

What does ProEMS do with school fees?

ProEMS runs the whole fee cycle in one place: it holds the fee heads for every class, applies concessions and late fines, takes payment by cash, cheque, bank transfer or online, and issues a PDF receipt for every payment.

Online payments go through your institution's own Razorpay, Stripe, Paytm, HDFC (via CCAvenue) or PNB account, so the money settles with you. Students pay from the student login on the web, and each payment lands on their fee account with its receipt.

Fee collection comes with the Gold plan, including the day's collection and its abstract. Defaulter reports with SMS reminders, collection for any date range and the concession report are part of the advanced reports in Platinum.

  • Fee heads per class, each with how often it's charged, plus one-time fees
  • Concessions and discounts that carry through to the bill and the receipt
  • A per-day late fine added to overdue bills every night at 1 am
  • Receipts as PDFs at the counter, and emailed to the student and parent after an online payment

What it does

What can your accounts desk do in the fee module?

It can set up fees, collect them however families pay, chase what's overdue and report on every rupee. These are the parts it uses most.

  • From Gold

    Fee heads by class

Tuition, transport, examination or any head you name, set per class with its frequency. One-time charges sit alongside.

  • From Gold

    Concessions and discounts

Record a sibling, staff-ward or merit concession once, as a percentage. It comes off the tuition fee on every bill after that, with a note of the rate.

  • From Gold

    Automatic late fines

Switch on a per-day fine. At 1 am every night ProEMS works out the days past the due date and updates each overdue bill.

  • From Gold

    Cash, cheque and bank

Take payment at the counter by cash or cheque, or record a bank transfer, with the details kept against the receipt.

  • From Gold

    Online payment

Students pay on the web from their own login, through your Razorpay, Stripe, Paytm, HDFC (via CCAvenue) or PNB account.

  • From Gold

    Receipts and slips

Every counter payment produces a receipt PDF to print, and payment slips print as PDF too. Online payments email a receipt to the student and parent.

  • From Gold

    Bank deposits from a file

Upload a CSV or Excel file of bank deposits instead of keying them in. Deposits you can't place yet wait in suspense until you settle them.

  • From Gold

    Dashboard and forecast

See what's collected, what's still due and what's expected to come in, with head-wise and payment-history reports and the day's collection abstract.

  • From Platinum

    Defaulters and SMS reminders

List every student with dues, export it as PDF or Excel, and send an SMS reminder to the whole list from the same screen.

How it works

How does fee collection work in ProEMS, step by step?

It runs in five steps, and only the first takes real effort. After that the system keeps the balances right on its own.

  1. 1

    Set up the year's fees

In the finance settings, add each class's fee heads with their amount and frequency, plus one-time charges. Turn on the late fine and set its daily rate.
  2. 2

    Add concessions

Record concessions and discounts for the students who get them. They come off the bill before anyone pays.
  3. 3

    Collect, every way families pay

At the counter, look a student up, pick cash, cheque or bank, and print the receipt. Students paying online do it from the student login and get their receipt the same way.
  4. 4

    Let the night shift run

At 1 am ProEMS adds the late fine to every bill past its due date. Pending HDFC payments are checked with the bank every five minutes.
  5. 5

    Close the day

Print the day's collection and its abstract from the transactions screen and check them against the cash in hand. On Platinum, send reminders to the defaulters before you lock up.

Runs on its own

What does the fee module do without anyone touching it?

Two jobs run on a timer, so nobody stays late working out fines or chasing gateway statuses.

  • 01:00

    Late fines are added

Every bill past its due date gets the daily fine for the days that have passed, with a note of the days and the rate.

  • Every 5 min

    HDFC payments are checked

For schools collecting through HDFC, ProEMS confirms pending online payments with the bank and updates them.

Can parents and students pay school fees online?

Students can: they pay online from the student login on the web, through the payment gateway your institution connects. Parents see the fee structure, their receipts and your bank details in the ProEMS app, but the app and the parent login don't take payments.

Families who pay online use the child's student login. If parent-side payment matters to you, ask us on the demo and we'll tell you where it stands.

Which payment gateways does ProEMS support?

ProEMS works with Razorpay, Stripe, Paytm, HDFC (via CCAvenue) or PNB. Your institution signs up with the gateway and connects its own account from the Integrations screen, so settlements go straight to your bank.

Gateway charges are between you and the gateway. We pass them through at cost and add nothing on top, as the pricing page sets out.

How are late fines worked out?

Late fines are a fixed amount per day past the due date, added automatically every night at 1 am. If the daily fine is ₹50 and a bill is six days overdue, it carries a ₹300 fine the next morning, with a note on the bill showing the days and the rate.

The fine is switched on or off for the whole institution in the finance settings, so schools that don't charge fines simply leave it off.

How do you find and remind fee defaulters?

The defaulter report lists every student with an outstanding balance, which you can filter by class and export as PDF or Excel. From there, Send SMS texts a reminder from your SMS templates to the defaulters on the list through your SMS provider.

The defaulter report and the SMS reminders are advanced reports, which come with the Platinum plan. On Gold you still see balances on the fee dashboard and in the payment-history report.

Good to know

What should you know before you move fees onto ProEMS?

Four practical points, so the accounts desk knows exactly what changes on day one.

Pay on the web, view in the app
Online payment happens in a browser from the student login. The app shows fees, receipts and bank details only.
Your gateway, your contract
You open the gateway account and agree its rates. ProEMS connects to it; we never hold the money.
Fees, not full accounting
ProEMS handles fee billing, collection and fee reports. Your books of account stay in your accounting software.
SMS needs a provider
Defaulter reminders go through your SMS provider account, and SMS charges are passed through at cost.

FAQ

Short answers to what schools and colleges ask us most. Anything else, bring it to the demo.

Which plan includes fee collection?

Yes. The counter screen takes cash, cheque and bank transfers, and online payments come in through your gateway. Every payment gets a PDF receipt, whichever way it was made.
