Timetable and syllabus

Plan the week once. Everyone gets their own timetable.

The office sets up each class's periods as weekly slots and activates them for the term, and ProEMS lays out every dated period. Teachers and students each see their own timetable and print it. On Platinum, the syllabus and leave cover work off the same periods.

In short

How does ProEMS handle school timetables?

ProEMS keeps each class's timetable as weekly slots, a subject on chosen days at a set time, and turns them into dated periods for the whole term when you activate them.

Those dated periods drive the rest. Every teacher and student sees their own timetable, teachers take attendance against the period, and when a teacher is on leave the cover is arranged period by period.

The timetable comes with the Gold plan. Syllabus units with the teaching report, and proxy cover through staff leave, are in Platinum; the pricing page lays out each plan.

  • Weekly slots per class, each a subject, the days of the week and a start and end time
  • Theory or lab, for the whole class or only the students taking an optional subject
  • Clone a slot to start the next one from a copy
  • My Time Table for every teacher and student, with a PDF to print

Which plan includes it?

  • TimetableGold

Class timetables with PDF, cloning and a personal view

  • SyllabusPlatinum

Syllabus and units, with a teaching report

Gold is ₹169 and Platinum is ₹249 per student a year, plus 18% GST. Each plan includes the one before it.

Compare the plans

Who uses it?

  • The office

Sets up the slots for each class, activates them for the term and changes single days when plans change.

  • Teachers

See and print every period they teach across classes, filtered by class, section or subject.

  • Students

See their class's periods with the teacher for each, for any dates, and print them.

  • Principals

Check any class's timetable and, on Platinum, how far each subject's syllabus has been taught.

  • Leave approvers

Confirm or change the proxy teacher for each period a colleague on leave will miss.

What it does

What can you set up in the timetable and syllabus?

Everything from the weekly pattern to one changed Wednesday, plus the syllabus each period works through.

  • Weekly slots

For each class and subject, pick the days, the start and end time and the term dates, and mark it theory or lab.

  • Clone a slot

Copy an existing slot as an inactive draft, change what differs, and activate it once it's right.

  • Activate for the term

Activating a slot creates a dated period for each chosen day between its start and end dates, ready for attendance.

  • No double-booked teachers

Assign one or more teachers to a run of periods. ProEMS refuses if a teacher already has another class at that time on that date.

  • Optional subjects

Give a slot to the whole class or pick the students who take it. Students who already have a period at that time are flagged and left off.

  • Change a single day

Move one dated period to another time, add an extra one or delete it, for a sports day or an exam, and the rest of the term stays put.

  • My Time Table and PDF

Teachers see every period assigned to them and students see their class's periods with the teacher's name, for any dates, as a list or a PDF.

  • From Platinum

    Syllabus with units and topics

Record the scope, objectives, books and hours for each class and subject, then units and topics with their own hours. Print it; students can read it too.

  • From Platinum

    Proxy cover from leave

A teacher applying for leave suggests cover for each period they'll miss. The approver confirms or changes it, and the timetable updates.

How it works

How do you build a term's timetable in ProEMS?

In five steps, once a term. After that the dated periods stay as they are until you change one.

  1. 1

    Add the slots

In Settings, add a slot for each subject a class has: the days of the week, the start and end time, theory or lab, and the term's dates.
  2. 2

    Decide who sits in it

Leave a slot on the whole class, or pick the students for an optional subject. Anyone with another period at that time is flagged.
  3. 3

    Activate

Activating creates every dated period for the term. When the next slot differs only in subject or time, clone this one instead of starting again.
  4. 4

    Assign teachers

Select the periods and pick the teacher. If that teacher is already teaching elsewhere at the same time, ProEMS says so and saves nothing.
  5. 5

    Share and adjust

Teachers and students open My Time Table and print it. When one day changes, edit or delete that period. Attendance for each period is covered on the attendance page.

Does ProEMS generate the timetable automatically?

No. ProEMS doesn't work out a timetable for you: your timetable in-charge decides who teaches what and when, and ProEMS holds it, checks it and shares it.

The checks still save a lot of back and forth. A teacher can't be given two periods that overlap on the same date, and a student picked for an optional subject is flagged if they already have a period at that time.

How are proxy teachers arranged when someone is on leave?

Through staff leave on the Platinum plan: when a teacher applies for leave, ProEMS lists every period they'll miss and asks them to suggest a colleague to cover each one.

Whoever approves the leave sees those periods, keeps or changes each proxy and saves, and the proxy teacher is added to those dated periods, so they show in the proxy's My Time Table. The staff, leave and payroll page covers the leave side.

How do you see how much of the syllabus has been taught?

The syllabus teaching report on Platinum shows, topic by topic, the hours taught against the hours planned and the percentage done, as an Excel file.

The hours come from attendance. When a teacher takes attendance for a period, they tick the syllabus topics they covered, and the period's time is shared across those topics.

Can teachers and students see their own timetable?

Yes. My Time Table shows each teacher every period assigned to them across classes, and each student their class's periods with the teacher's name, for whatever dates they choose.

Both can download it as an A4 landscape PDF, and teachers can filter theirs by class, section or subject. Find out how the student login works on the students page.

Good to know

What should you know before moving your timetable to ProEMS?

Four honest limits, so the timetable in-charge can plan the switch properly.

You build it, ProEMS checks it
There's no automatic timetable generation. You enter the slots, and ProEMS catches teacher and student clashes as you assign them.
A dated list, not a wall chart
My Time Table shows periods as a dated list with a PDF to print. Bring your current wall chart to the demo and compare.
Students see the whole class
A student's timetable lists every period of their class section, including optional subjects they don't take.
Parents use the student login
Parents don't have a timetable screen of their own. It's in the student's login.

FAQ

Questions about timetables.

Short answers to what schools and colleges ask us most. Anything else, bring it to the demo.

Which plan includes the timetable?
The Gold plan includes class timetables, cloning, the PDF and My Time Table for teachers and students. The syllabus with its teaching report, and proxy teachers through staff leave, need the Platinum plan.
Can one subject run at different times on different days?
Yes. Add a separate slot for each time, each with its own days. A slot is one subject at one time on the days you tick.
Can we change the timetable for just one day?
Yes. Move a single dated period to another time, add an extra period or delete one, and the rest of the term stays as it was.
Can two teachers share a period?
Yes. A dated period can have more than one teacher, as long as none of them already has another class at that time.
Do proxy periods show in the proxy teacher's timetable?
Yes. Once the leave approver saves the proxy, the proxy teacher is added to the period and it appears in their My Time Table. Proxy cover through staff leave is in the Platinum plan.
