Choosing software

School ERP software cost in India: published prices, compared.

School ERP software in India costs about ₹50 to ₹300 per student per year at the per-student rates vendors publish, and flat-fee plans start at ₹9,000-15,000 a year.[1, 2, 3, 4] For a 500-student school, published prices come to roughly ₹15,000 to ₹1.5 lakh a year, depending on the vendor and the plan.[2, 3]

Many established vendors, Entab and Teachmint among them, publish no ERP price at all, so you only learn theirs from a quote.[5, 6] On top of the subscription, budget for 18% GST, SMS, payment-gateway charges and any paid add-ons.[4]

How much does school ERP software cost in India?

Published per-student rates for school ERP software in India run from about ₹50 to ₹300 per student per year. At the low end, eSchoolApp quotes ₹50 per student with the apps, data migration, training and support included.[1] At the top, MyLeadingCampus lists its Enterprise plan at ₹25 per student per month, which is ₹300 a year, for schools of at least 200 students.[2]

Some vendors skip the per-student rate and charge one flat fee. EduGradUP sells four plans, from ₹9,000 a year for up to 150 students to ₹23,000 a year for up to 1,500, with 18% GST added.[4] Pathshala ERP charges ₹15,000 a year with no limit on students.[3] And two vendors give very small schools a free plan: MyLeadingCampus Basic and ScholaBook's Free Forever plan both stop at 100 students.[2, 7]

Fedena showed plans at $999, $1,399 and $1,699 a year with unlimited users when we read its page.[8] The page doesn't name the currency, so ask Fedena for a rupee quote.

Compare what's in the plan, not just the number

These are list prices for different products. Devryon's Premium plan, for example, lists transport and hostel modules,[10] while a cheaper plan elsewhere may leave out fees or exams. Check that the plan you're pricing has the modules you need.

Why don't many school ERP vendors publish prices?

Many of the better-known school ERP vendors sell through a demo and a quote, so their price isn't public. Entab's CampusCare page offers “Request For Demo” and “Contact Sales” and shows no fees.[5] Teachmint's pricing address opens a page about its classroom boards, with no prices at all.[6]

A quote isn't a bad sign on its own. A large school or a group of schools often needs custom set-up, and that can't be priced from a web page. It does mean two things for you:

  • You can't compare that vendor until you've had a demo and asked for a written quote.
  • Two schools of the same size can be quoted different amounts, so ask what the quote is based on.

Estimates aren't prices

Figures for these vendors on other vendors' blogs are estimates, written by a competitor. Ask the vendor for its own written quote before you decide anything on price.

What pricing models do school ERP vendors use?

School ERP vendors charge in six main ways: a monthly or a yearly rate per student, a flat fee by school size, a free plan for small schools, a one-time licence with yearly maintenance, or a custom quote.

ModelHow you payExamplesAsk about

How school ERP vendors in India price their software, from their own pages.

Per-student pricing grows with your school. That's fair while you're small and adds up as you grow. A flat fee gets cheaper per student as you fill a band, so it suits a school near the top of one. Some per-student vendors lower the rate for larger schools: ProEMS, for example, charges students 501-1,500 at 85% of the list price and students 1,501-5,000 at 70%.

What does a 500-student school pay for school ERP?

A 500-student school pays between ₹15,000 and ₹1.5 lakh a year at the prices vendors publish, depending on the vendor and the plan, plus any GST the vendor adds. Here are the published options, worked out for 500 students and sorted from cheapest.

With 18% GST added, ProEMS Gold for 500 students comes to ₹99,710 a year.

ProEMS isn't the cheapest option here, and it isn't trying to be. A buyer comparing only the per-student number will see Devryon Premium at ₹144 come in under ProEMS Gold at ₹169, and Devryon lists transport and hostel in that plan.[10] ProEMS has no hostel module at all, and its transport module (routes, vehicles and drivers, with no GPS tracking) comes with Platinum. The section on what ProEMS costs sets out what you get for the price.

What costs come on top of the subscription?

GST, SMS, payment-gateway charges, paid integrations and hardware come on top of the subscription, and so can data migration and training if the vendor doesn't include them.

GST at 18%

The vendors that mention GST quote their prices before it. EduGradUP says 18% GST is extra, and ScholaBook says its prices exclude GST.[4, 7] A school usually can't recover that GST. All services a school provides to its students are exempt from GST,[12] and tax commentary notes that input tax credit is blocked on inputs used for exempt education.[13] So for most schools the 18% is a real cost. Check your own position with your CA.

SMS and WhatsApp messages

Bulk SMS in India is charged per message. A May 2026 guide by Message Central, an SMS provider, puts transactional SMS at ₹0.10-0.18 a message, and the one-time DLT registration at ₹5,900 including GST for your organisation, plus ₹5,900 for each sender ID.[14] School ERP vendors that resell SMS charge more: Devryon cites about ₹0.18-0.25 a message[10] and MyLeadingCampus ₹0.22.[2] WhatsApp messages are sold as credits: EduGradUP charges ₹1,000 for 4,000 messages, and MyLeadingCampus ₹0.35 a message.[2, 4]

Payment-gateway charges

When fees are paid online, the payment gateway keeps a share of each payment. Razorpay's standard rate is a 2% platform fee per successful payment, with 18% GST on that fee. UPI and RuPay debit cards carry no MDR, but the 2% platform fee still applies.[15] On ₹10 lakh of fees collected online, that's ₹20,000 plus ₹3,600 GST. The gateway charges this, not the ERP vendor: Devryon, for one, says it doesn't bill gateway fees.[10]

Integrations and add-ons

Some vendors price integrations separately. MyLeadingCampus lists one-time charges of ₹3,000 for WhatsApp integration, ₹5,000 for payment-gateway integration, ₹32,000 for Tally integration, ₹5,000 per vehicle for GPS tracking and ₹50,000 for an app in the institute's own name.[2]

Attendance hardware

Biometric or RFID attendance needs readers. Devryon puts that hardware at ₹8,000-80,000, one time.[10]

Data migration and training

Many vendors that publish prices include set-up, training and data migration: Devryon, EduGradUP, ScholaBook and Pathshala ERP all say so.[3, 4, 7, 10] Where it isn't included, ask for it as a fixed fee. For a rough idea, Codingclave, a firm that builds custom school software, estimates data migration at ₹40,000-2 lakh and training at ₹25,000-1 lakh.[16] If you're moving from Excel, our migration checklist shows what to clean up first.

How do you compare school ERP quotes fairly?

Put every quote on the same footing: the same student count, the same modules, GST on its own line and every extra priced, added up over three years rather than one.

  1. Use the same student count

Ask how students are counted: at the start of the session, at the highest point in a term, or every month. Ask what happens when you admit students mid-year.
  2. Name the modules you need

Fees, exams and report cards in your board's format, attendance, admissions, transport, library, payroll. Ask which plan has each one, and whether any of them is an add-on.
  3. Ask for GST on a separate line

Some vendors quote before GST and some don't say. Put every quote on the same basis.
  4. Get the per-unit prices

SMS, WhatsApp, payment gateway, and anything charged per vehicle, per device or per user.
  5. List the one-time costs

Set-up, moving your current data, training, attendance hardware, an app in your school's name.
  6. Read the contract terms

Billing frequency, minimum charge, lock-in period, notice to cancel, and how much the price can rise at renewal.
  7. Ask how you get your data out

In what format, how quickly, and whether it costs anything when you leave.
  8. Use the trial on real work

Trials run from 14 days at Fedena[8] and 15 days at EduGradUP and Pathshala ERP[3, 4] to a month at ProEMS. Run one real fee cycle or one exam through it.

Then add it up over three years. A one-time licence that looks cheap in year one can cost more by year three once maintenance is added, and a low first-year offer can rise at renewal. For the full buying checklist, beyond price, see how to choose a school ERP.

What does ProEMS cost?

ProEMS costs ₹79 on Silver, ₹169 on Gold and ₹249 on Platinum per student per year, before 18% GST. The same prices apply to schools, colleges and institutes.

  • Billed once a year, in advance. Quarterly billing costs 10% more over the year.
  • No setup fee. Hosting on AWS in Mumbai and the Android and iOS apps are included.
  • A minimum of ₹12,000 a year before GST, which only affects small schools.
  • The first 500 students are charged the full price, students 501-1,500 85% of it and students 1,501-5,000 70%. Above 5,000 students, we quote.
  • SMS and payment-gateway charges are passed on at cost.
  • A one-month free trial, and no lock-in contract after it.
StudentsPlanPer year, before GSTPer year, with 18% GSTPer student, before GST
100Silver₹12,000 (the minimum)₹14,160₹120
100Gold₹16,900₹19,942₹169
500Gold₹84,500₹99,710₹169

For most schools Gold is the plan to compare, because it adds fee collection with online payment, exams and report cards, certificates and transfer certificates. Platinum adds admissions, library, transport records, payroll, SMS templates and the advanced fee reports, such as defaulter lists that staff can send SMS reminders from.

What ProEMS doesn't have, so you can price it in: no hostel or inventory module, no GPS bus tracking, no WhatsApp messaging and no Tally export. Students can pay fees online from their own login on the web, but parents can't pay online and the apps don't take payments.

How do college ERP costs differ from school ERP?

Fewer college ERP vendors publish prices. One that does, collegesoftware.in, uses a flat base plus a per-student rate: it lists Startup, Premium and Enterprise plans at ₹10,000, ₹15,000 and ₹20,000 a year for up to 300 students, then ₹35, ₹50 and ₹70 per student above 300, with 18% GST on all charges.[17] Its own worked examples apply the per-student rate to every student, though, so ask which reading the vendor will invoice. Linways shows Lite, Professional and Enterprise plans with no prices.[18]

A college also needs things a school doesn't: programs, semesters, backlogs, examination forms, admit cards and results in the affiliating university's format. Check that each is in the plan you're quoted, not a custom job priced later. Our guide to choosing a college management system covers them in detail.

ProEMS charges colleges the same as schools. A 1,000-student college on Gold pays ₹1,56,325 a year before GST.

FAQ

Common questions

Short answers. The sections above have the detail and the sources.

Is there free school ERP software in India?
Yes, for very small schools. MyLeadingCampus's Basic plan is free for up to 100 students and one user, and ScholaBook's Free Forever plan covers up to 100 students. Both leave out users or modules that the paid plans include, so check the limits before you commit.
Is GST charged on school ERP software?
Yes. Vendors that state their position quote before GST and add 18% on the invoice. Services a school provides to its students are exempt from GST, which usually means the school can't claim back the GST it pays on software. Check your own position with your CA.
Is per-student pricing or a flat fee cheaper?
It depends on your size. A flat fee, such as Pathshala ERP's ₹15,000 a year for any number of students, is hard to beat on price for a large school, while per-student plans cost less for a small one. Compare what each plan includes, then work out the yearly total for your own student count.
Is a one-time licence cheaper than a subscription?
Not always. A one-time licence usually comes with a yearly maintenance charge, which eSchoolApp puts at 18-25%, and you may have to run the server yourself. Add up three to five years of cost before you decide.
How much does SMS cost a school?
Transactional SMS costs about ₹0.10-0.18 a message wholesale, according to SMS provider Message Central, and school ERP vendors that resell SMS charge around ₹0.18-0.25. You also need DLT registration for your organisation, sender ID and message templates.
How long are school ERP free trials?
Published trials run from 14 days at Fedena and 15 days at EduGradUP and Pathshala ERP to one month at ProEMS. Some vendors offer only a demo.
How much does ProEMS cost for 1,000 students?
On Gold, 1,000 students cost ₹1,56,325 a year before GST, or ₹1,84,463.50 with 18% GST. Students above 500 are charged 85% of the list price, so it works out to ₹156.33 per student.
