ProEMS or Vidyalaya? A longer module list against a published price.

Vidyalaya is the wider product on paper. Its own pages list hostel, inventory, vehicle tracking, WhatsApp, Tally and accounting modules.[1] ProEMS has none of those, and parents can't pay fees online in ProEMS, only students can. What ProEMS offers instead is a price you can read (Gold is ₹169 per student per year before GST), a one-month trial with no lock-in, and college structures that Vidyalaya's college pages don't describe. Vidyalaya doesn't publish a price,[2] so we can't say which costs less.

Checked on 21 October 2026 against Vidyalaya's own website (vidyalayaschoolsoftware.com), its App Store listing and one third-party listing, all under Sources. These are mostly marketing pages. "Not stated" means the pages we read do not say either way. It does not mean Vidyalaya lacks the feature. We could not open its Google Play listing.

Which should you choose?

Choose Vidyalaya if

  • you need a hostel, inventory, GPS bus tracking or WhatsApp module. ProEMS has none of them.
  • your accountant wants fees posted into Tally. Vidyalaya describes it, and ProEMS has no Tally link or accounting export.
  • parents, not only students, should pay fees online, and you want reminders sent automatically around the due date.
  • the principal and office staff want a Management app. The ProEMS apps have no admin screens.
  • you prefer a vendor with a longer history and a bigger footprint. Vidyalaya says it launched in 2002.

Choose ProEMS if

  • you want the price on the page before you talk to anyone. Gold is ₹169 per student per year before GST, with a one-month trial and no lock-in.
  • you run a college, or a school and a college, and want program, course, term, backlog, examination form, admit card and university Excel in one system.
  • your fee office works with suspense payments, bank CSV upload, daily collection abstracts and defaulter reports, and having students pay online is enough.
  • you want report cards, a rank list with percentile, and Council List and nominal roll exports.
  • you want each school on its own database and web address, on AWS in Mumbai, with the region named in writing.

What is Vidyalaya school software?

Vidyalaya is a school ERP sold from Ahmedabad. It says it launched in 2002 and has 40+ modules.[1, 26] The site also sells campus, college and university versions, and groups its modules under core, resource management, integrations and AI-labelled pages.[1] Its pages use the names Vidyalaya School Management System and Vidyalaya School ERP.[1, 4] Apple's App Store lists Sapphire Software Solutions as the seller of the app.[22]

The site names three apps: a School App, a Parent App and a Management App. It links to Google Play (package com.vidyalaya.vidyalayaapp) and the App Store.[21] We did not get a readable copy of the Google Play listing, so we don't quote its install count.

Where is Vidyalaya stronger?

Vidyalaya is stronger wherever the job goes past student records and fees: campus operations, accounts and messaging channels. It is also the older and larger company. This list comes from its own pages, which are marketing pages, so ask for a live demo of each item you need.

  • Hostel and inventory. Room allotment, mess, OTP gate passes and online payment of hostel and mess fees.[17] Bulk stock intake, issue and return, and reorder alerts.[18] ProEMS has neither module.
  • Transport with GPS. Route-wise fees tied to the fee module, GPS bus tracking and alerts to parents.[15] Whether Vidyalaya supplies the devices or links to another supplier is not stated.[16] ProEMS keeps transport records only.
  • Parents paying online. Parents pay by card, net banking or wallet, and the page names no gateway.[7] In ProEMS only students pay online, and the apps take no payments.
  • Fee reminders. Reminders before the due date, on it and on a prolonged due date, by SMS, email and app notifications.[6] ProEMS sends nothing automatically before a due date.
  • WhatsApp. Bulk notices, absence alerts to parents and a chatbot, on the WhatsApp Business API.[23] ProEMS has no WhatsApp messaging.
  • Tally and accounts. Fee-head-wise and student-wise posting to mapped Tally ledgers,[5] and an accounting module with a bank reconciliation section.[8] ProEMS has no Tally link and no accounting export.
  • A Management app and a branded app. The site names a Management App and says it will build a custom school app to your brand guidelines.[21] The ProEMS apps are the same for every school and have no admin screens.
  • Track record. It says it launched in 2002.[26] ProEMS has been built since 2019.

Where is ProEMS stronger?

ProEMS is stronger on a published price, on college structures, and on the detail of Indian fee and report card work. Each point names the plan it needs.

  • Price and terms. Silver ₹79, Gold ₹169 and Platinum ₹249 per student per year before GST. Hosting and the apps are included, there is no set-up fee, and the trial is one month with no lock-in. Vidyalaya shows no price, and its refund policy allows no refunds after enrolment.[4]
  • College structures (Gold for exams, results and subject approval). Program level, program, course, department, term, backlog handling, subject approval, examination form, admit card and university Excel sit in the same product that runs schools. Vidyalaya's college page describes semesters, board patterns and transcripts.[11] The college and university pages do not mention backlog handling, examination forms or admit cards.[11, 28]
  • Fee office tools (Gold and Platinum). Students pay through the school's own Razorpay, Stripe, Paytm, HDFC (via CCAvenue) or PNB account. Suspense payments, bank CSV upload, the daily collection abstract, collection by date range, and defaulter details as PDF or Excel with SMS to defaulters. Vidyalaya's fees page does not mention suspense payments, bank-file upload or defaulter lists.[6]
  • Report cards and exam detail (Gold). Report card PDFs, a rank list with percentile, Council List and nominal roll exports, and transfer certificates from the student record. Vidyalaya's exam page does not mention percentile or a Council List.[9]
  • Where the data lives. Each school has its own database and web address on AWS in Mumbai, with an encrypted database, daily backups and 7-day point-in-time recovery. Vidyalaya's pages name no hosting provider or region.[27]
  • Permissions. Read-only or full edit rights for each module, for each role.

What ProEMS does not do

ProEMS has no hostel module, no inventory, and no GPS or live bus tracking (transport is records only). It has no WhatsApp messaging, no Tally link or accounting export and no payslip PDF, and it lists no AI features. Parents cannot pay fees online, and nothing is sent automatically before a fee due date. There is no two-factor login, the interface is English only, and the apps have no admin screens.

How much does Vidyalaya cost?

We can't tell you, because Vidyalaya doesn't publish a price (checked 21 October 2026). Its website points to a free demo form.[2] SoftwareSuggest's listing has a "Starting Price" heading with no amount under it.[3] The refund policy page has no amounts either.[4] Other review sites may show a starting price for Vidyalaya. Those are listing fields, not quotes, and we don't repeat them.

When you ask Vidyalaya for a quote, get these in writing.

  1. Per student, or a flat fee?

    Ask for the figure for your student count, and what it becomes next year.

  2. Which modules are in the price

    Ask whether hostel, GPS tracking, WhatsApp, Tally posting, the Management app and a branded app are included or extra. The Tally page does not say.[5]

  3. Where the data is hosted

    Its pages name no provider or region. Ask for both.

  4. SMS and WhatsApp charges

    Neither page shows a cost per message.[23, 24]

  5. Trial, renewal and refunds

    The refund policy allows no refunds or cancellations after enrolment, so settle pilot terms before you sign.[4]

  6. Training and data migration

    Its ERP page mentions role-based training, user guides and post-implementation support. Ask what moving your records in costs.[27]

The pricing page has the volume bands and a calculator. Compare like with like: the same student count and the same modules.

Which suits a college better?

For a college or university, check the academic structure before anything else. Vidyalaya sells a college version and a university version.[1] Its college page describes odd-even semesters, board patterns (CBSE, ICSE, IB and state boards) and CCE, and lists certificates that include a transcript.[11] Its college and university pages do not mention backlog handling, examination forms, admit cards or a university Excel format.[11, 28] Its school exam page does mention hall tickets.[9] That doesn't mean it can't do the rest. It means you should ask for a demo using your own marks sheet.

ProEMS has those built in: program level, program, course, department, term, backlog handling, subject approval, examination form, admit card and university Excel. The same product runs schools, so a trust with both a school and a college can use one system.

Not on its own website. We checked on 21 October 2026: the site sends visitors to a free demo form, and SoftwareSuggest's listing shows a starting-price heading with no amount. ProEMS publishes its prices: Silver ₹79, Gold ₹169 and Platinum ₹249 per student per year before GST.
Can parents pay fees online in Vidyalaya?
Its fees and payment pages say parents can pay online by card, net banking or wallet, and track payments and download receipts from their mobile or web portals. They name no payment gateway. In ProEMS only students can pay online, on the web. Parents can see fees, and the apps take no payments.
Does Vidyalaya work with Tally?
Its Tally page describes posting fee transactions from Vidyalaya to Tally, by fee head and by student, for Tally version 7.2 and above. It does not say whether this is included in the base price. ProEMS has no Tally integration and no accounting export.
Does Vidyalaya have GPS bus tracking and a hostel module?
Its site lists both, and an inventory module too. ProEMS has none of the three: its transport module holds records only, and it has no hostel or inventory module.
Does Vidyalaya have a mobile app?
Its site names a School App, a Parent App and a Management App. Apple's listing is titled Vidyalaya, names Sapphire Software Solutions as the seller and lists English. ProEMS has Android and iOS apps for staff, students and parents, with no admin screens. The iOS listing is titled ProIMS.
Can I try Vidyalaya before I pay?

Is ProEMS cheaper than Vidyalaya?
