Admissions & enquiries

School admissions, from first enquiry to a confirmed seat.

Families enquire from your login page or at the front desk, and the office turns the serious ones into candidates. ProEMS takes the admission form online with documents, prints admit cards for the entrance test and, when you confirm a seat, creates the student's record and login in the same step.

In short

What does ProEMS do for school admissions?

ProEMS runs admissions from the first enquiry to a confirmed seat: it records enquiries, turns them into candidates, takes the admission form online with documents, prints admit cards for the entrance test, and on confirmation creates the student's profile and login.

Families can start on their own. Once the modules are on, your school's login page shows an Enquiry button and an Apply for Admission button, and neither needs an account.

Admissions come with the Platinum plan, as three modules: enquiries, applications from outside and enrolment. Switch on the ones that match how you admit, and see pricing for what Platinum includes.

  • Enquiries from your login page or the front desk, each with a status and notes
  • An online admission form in four steps, with documents uploaded as photos or scans
  • Admit cards for the entrance test or interview, for one candidate or a whole list
  • Confirmation that creates the student record, login, class placement and fee orders

Who uses it?

  • The office

Logs walk-in and phone enquiries, adds candidates, records form fees, prints admit cards and confirms seats.

  • Principals

Follow total registrations and confirmed admissions on the dashboard.

  • Accountants

Find a new student's fee orders already raised on the day the admission is confirmed.

  • Applicants

Send an enquiry or fill the admission form from your login page, with no account needed.

What it does

What can the admissions office do in ProEMS?

It can take an enquiry, run the application and the entrance test, and hand a ready student record to the class teacher. These are the tools it uses.

  • Enquiries with a status

Log walk-ins and calls, or let parents use the Enquiry form. Each one carries the class, the best time to call, notes and a status: Pending, Answered, Review or Completed.

  • Enquiry to candidate

Convert an enquiry into a candidate in one step. If you number registrations automatically, the registration number is assigned there and then.

  • Online admission form

Student details, parent details, address and documents, in four steps. Each application gets a reference number the family uses to come back and finish.

  • Form link by email

If a family saves and exits part-way, ProEMS emails them the form link, with instructions to pick up their application using the reference number and email address.

  • Admit cards

Print A5 admit cards for the entrance test or interview, with the date and time you set for the year, one at a time or for every selected candidate.

  • Statuses, fees and lists

Mark candidates Pass or Fail after the test, record the form fee and its date, and print the admission, entrance test and qualified lists as PDF.

  • Email or SMS candidates

Write to selected candidates by email with attachments, or send an SMS from your templates, straight from the candidate list.

  • Confirm or cancel a seat

Confirming creates the student's profile and login and numbers them from your sequences. Cancelling undoes it all, as long as no fee has been paid.

How it works

How does an admission move through ProEMS, step by step?

Five steps take a family from a first question to a place in a section. The office decides when each candidate moves on.

  1. 1

    Take the enquiry

A parent fills the Enquiry form on your login page, or the front desk enters a walk-in. It lands in Admission Enquiries as Pending, and a second enquiry from the same email for the same class is caught.
  2. 2

    Turn it into a candidate

When the family wants to apply, convert the enquiry. The child appears in All Candidates, marked Enquiry, beside the families who applied online or at the office.
  3. 3

    Collect the admission form

The family opens Apply for Admission, fills student, parent and address details, uploads documents and submits. The form then locks, and a copy is emailed to the applicant and the father.
  4. 4

    Run the entrance test

Set the test date and time in your organisation settings, print admit cards in bulk, and mark each candidate Pass or Fail when the results are in.
  5. 5

    Confirm the seat

Confirm the admission. ProEMS creates the student, places them in a section and raises their fee orders, and you print the confirmation slip for the class teacher. From here the child lives in student records.

What can an applicant do online, and what needs the office?

An applicant can send an enquiry and fill the whole admission form online without an account, from the buttons on your login page. They can stop part-way, come back with their reference number and email, upload documents as JPEG or PNG files, and get a copy by email when they submit.

Once submitted, the form is locked, so any change goes through the office. Applicants don't get a dashboard of their own to track progress: the office shares admit cards, results and next steps by email or SMS from the candidate list.

What happens when you confirm an admission?

Confirming turns the candidate into a student in one step: ProEMS creates the student profile and login, gives them admission, security and account numbers from your sequences, and marks the candidate Approved.

It places the child in the section with the fewest new admissions of the same gender, so sections stay balanced. If the father's mobile number matches a parent already on record, the child is linked to that parent, which keeps siblings together. The fee orders set as defaults for the class are created too, ready for the accounts desk.

If plans change, Cancel admission removes the profile, login, class placement and fee orders and returns the candidate to Pending. It won't run once any fee has been paid against those orders.

How do admit cards work for an entrance test?

Admit cards are A5 PDFs printed from the candidate list, for one candidate or every one you select. Each card names the child, their registration number and class, and the date and time of the entrance test or interview, which you set once for the admission year.

The card also states plainly that it doesn't guarantee admission. If the term is new to your team, our glossary explains what an admit card is and how schools use one.

Can parents enquire online before they apply?

Yes. The Enquiry button on your ProEMS login page opens a short form that asks for the child's name, a 10-digit mobile number, an email address, the class they want and whether mornings or evenings suit for a call.

Only classes you've opened for admission appear in the list. Each enquiry reaches the office as Pending, and you can link the login page from your school website so parents find it.

Good to know

What should you know before taking admissions on ProEMS?

Four practical points, so the office plans the admission season around what the system really does.

No applicant dashboard
Applicants work on the form itself, using their reference number and email. Admit cards, results and updates reach them from the office by email or SMS.
Form fees are recorded, not collected
The office marks the form fee as paid with its amount and date. The admission form doesn't take an online payment.
Documents upload as images
Applicants upload documents as JPEG or PNG files, so a birth certificate kept as a PDF needs to be saved as an image first.
Enrolment forms use ConvertAPI
The printable enrolment form for a confirmed student is filled from your Word template and turned into a PDF by ConvertAPI, an outside conversion service.

FAQ

Questions about admissions.

Short answers to what schools and colleges ask us most. Anything else, bring it to the demo.

Which plan includes admissions?
Admissions come with the Platinum plan. Enquiries, applications from outside and enrolment are three modules you switch on separately, so you can start with enquiries alone.
Do applicants need a login to apply?
No. The Enquiry and Apply for Admission buttons on your login page open the forms without an account. Applicants return to an unfinished form with their reference number and email address.
Can the office fill the admission form for walk-in families?
Yes. The office can add a candidate from Pre-Admission and enter the same details, and these show as Offline applications in the candidate list.
Can we export the candidate list?
Yes. The candidate list exports to Excel with the columns you choose and prints as a PDF of up to ten columns, alongside the admission, entrance test and qualified candidates lists.
Can we cancel an admission after confirming it?
Yes, as long as no fee has been paid. Cancelling removes the student's profile, login, class placement and fee orders, and returns the candidate to Pending.
