How it's worked out

Divide, round down, and give the first instalment what's left.

Rounding never changes the total. Whatever it leaves over goes on the first instalment.

Due dates
the first due date, then every 12 ÷ number of instalments months

Same date each time. A first due date on the 31st falls on the last day of a shorter month.

  1. 01₹45,000 a year, in four quarterly instalments.

    • ₹45,000 ÷ 4 = ₹11,250, rounded down to ₹11,200
    • First instalment: ₹45,000 − 3 × ₹11,200 = ₹11,400
    • Due on 10 April 2026, 10 July 2026, 10 October 2026, 10 January 2027.

    ₹11,400, then 3 × ₹11,200. Together, ₹45,000.

  2. 02Monthly, with ₹6,000 of annual charges in April.

    • Tuition of ₹54,000 ÷ 12 = ₹4,500 a month
    • April adds the ₹6,000 in annual charges: ₹4,500 + ₹6,000 = ₹10,500

    ₹10,500 in April, then 11 × ₹4,500. Together, ₹60,000.

  3. 03₹50,000 a year, monthly: rounding to ₹10 or ₹100.

    • ₹50,000 ÷ 12 = ₹4,166.67
    • To ₹10: 11 × ₹4,160, and the first is ₹4,240
    • To ₹100: 11 × ₹4,100, and the first is ₹4,900

Rounding to ₹10 keeps the first instalment close to the rest. Rounding to ₹100 puts ₹800 extra on it.

How many instalments

Mostly it's the school's choice. CBSE's Affiliation Bye-Laws don't say how often fees are collected or in how many instalments. Some states do:

  • Uttar Pradesh. Its 2018 fee Act says a school sets out whether fees are paid monthly, quarterly or half-yearly, and "no school shall solely provide that the fee be paid on annual basis". A yearly option is fine there, but it can't be the only one.
  • Delhi. The 1973 rules make fees payable by the 10th of the month they fall due. Those rules sit in a chapter headed for aided schools.

Fewer instalments mean fewer receipts and reminders. More of them make each payment smaller for parents. Our fee structure template uses quarterly, due on the 10th of April, July, October and January.

One-time charges

Annual charges, or admission and registration for a new student, are usually collected once. Enter them as one-time charges and the planner adds them to the first instalment, so the rest stay equal. Leave them out if they're collected separately.

Delhi's 2025 fee rules cap some of these: registration at ₹25, admission at ₹200 and caution money at ₹500. Check what your state allows before you fix the amounts.

When fee heads are charged at different times

This planner splits one figure evenly. A real fee structure often isn't even: tuition every month, the exam fee each half-year, annual charges once. For that, the fee structure template works out each instalment head by head, so the exam fee lands in the quarter it's due.

Once the dates are set, a fee paid after one of them may carry a fine. The late fee calculator works that out, by the day, week or month.

FAQ

Questions people ask about this.

Something we haven't covered? Ask us. We reply within one working day.

How do I split school fees into instalments?
Divide the yearly fee by the number of instalments and round each one down to a clean figure, such as the nearest ₹100 below. Put whatever the rounding leaves over on the first instalment, so the total is unchanged. Add any one-time charges to the first one too.
Can a school ask for the whole year's fee in one go?
In Uttar Pradesh, a self-financed school must offer monthly, quarterly or half-yearly instalments and can't make annual payment the only option. CBSE's Bye-Laws don't cover it, so elsewhere it depends on your state's fee rules.
Why is the first instalment bigger?
It carries what rounding left over, and any one-time charges. That keeps every other instalment the same round figure.
What due date should I pick?
Any day that suits your collection cycle. Delhi's 1973 rules use the 10th of the month. If you pick the 29th, 30th or 31st, shorter months fall on their last day.
